Hire Policy

1) Purpose

Welcome to Wakefield Exchange This policy is designed to provide clear and fair 
guidelines for hiring our spaces, ensuring everyone enjoys a safe, inclusive and positive 
experience. 

2) Eligibility and event suitability

a) We welcome applications from individuals, businesses, community groups, and 
organisations. 

b) Applications can be made using our Event Application Form / Online Booking. 

c) We reserve the right to assess each application based on:

  • Alignment with our values of inclusivity and respect.
  • Compliance with legal and safety regulations.
  • Avoidance of overtly political, offensive, or discriminatory content.
  • Consideration of potential impact on our staff, customers, and the wider 
    community.
  • The council will not accept applications from organisations or individuals 
    that carry out or promote activities or agendas that may be injurious to good 
    community relations.

d) We welcome private fairs and markets, however organisers must obtain a 
Private Market License in line with Wakefield Council’s Private Markets policy 
Private Markets - Wakefield Council.

3) Booking process

  • All bookings must request must be submitted via our website.
  • Bookings are confirmed only upon receipt of payments / deposits.
  • We recommend The Shed and The Factory bookings are made at least 3 months 
    in advance.

4) Hire Fees

  • Hire fees vary depending on the space, the duration and nature of the event.
  • Prices can be found on our website www.wxwakefield.co.uk 
  • Payment must be mad in advance unless otherwise agreed.

5) Cancellations and refunds

  • Cancelations must be followed in line with the terms and conditions.

6) Use of the Space

  • Hirers must use the space for the purpose of the agreed booking.
  • All activities must comply with health and safety regulations.
  • Hirers are responsible for setting up and clearing the space unless otherwise 
    agreed.

7) Insurance and Liability

  • Hirers may be required to provide proof of public liability insurance of 5 million 
    or above.

8) Conduct and Responsibilities

  • Hirer`s agree to follow the admissions policy and visitor guidelines.

9) Accessibility and Support

  • We aim to make our spaces accessible to all. Plese inform us of any specific 
    requirments in advance.
  • Staff support may be available upon request, please ask in advance of your booking.
